The successful candidate will be a highly organized and creative individual with a proven track record in event planning, sponsorship outreach, volunteer management, and overall project coordination. This role involves a diverse set of responsibilities, including entertainment coordination, permit acquisition, security planning, vendor management, guest services, technology integration, post-event evaluation, public and media relations, community engagement, and a commitment to environmental sustainability.
Responsibilities (not limited to):
Event Planning:
Develop and execute a comprehensive event plan, including logistics, scheduling, and coordination of all festival activities.
Sponsorship Outreach:
Identify and approach potential sponsors, negotiate sponsorship agreements, and maintain strong relationships with sponsors throughout the event.
Meetings with Sponsors:
Schedule and conduct meetings with sponsors to discuss partnership details, deliverables, and ensure sponsor satisfaction.
Volunteer Management:
Virtually recruit, train, and manage volunteers, ensuring a positive and efficient volunteer experience during the festival.
Venue Coordination:
Collaborate with venue owners and managers to secure appropriate spaces, negotiate contracts, and ensure all logistical requirements are met.
Entertainment Coordination:
Collaborate with performers, artists, and entertainers to ensure seamless integration of entertainment into the festival schedule.
Oversee technical and logistical requirements for performances, including sound and stage setups.
Permit Acquisition:
Navigate the process of acquiring necessary permits and licenses for the festival, ensuring compliance with local regulations.
Security and Safety Planning:
Work with security vendors to develop and implement comprehensive security plans for the event.
Coordinate with local authorities and emergency services to establish safety protocols.
Vendor Management:
Identify, select, and coordinate vendors (food, merchandise, etc.) for the festival.
Ensure vendors adhere to contractual agreements and event guidelines.
Guest Services:
Develop and oversee guest services, including information booths, lost and found, and other attendee support services.
Technology Integration:
Implement technology solutions for ticketing, registration, and other festival-related processes.
Coordinate with IT professionals to ensure the smooth operation of tech-related aspects during the event.
Post-Event Evaluation:
Conduct a thorough post-event evaluation, gathering feedback from sponsors, vendors, volunteers, and attendees.
Use evaluation data to make recommendations for future events and improvements.
Public Relations and Media Relations:
Work with the marketing team to manage public relations efforts, including press releases, media partnerships, and interviews.
Serve as a spokesperson for the event when necessary.
Community Engagement:
Engage with the local community to build support and create positive relationships.
Organize community outreach programs and initiatives tied to the festival.
Environmental Sustainability:
Integrate environmentally sustainable practices into the planning and execution of the festival.
Explore and implement eco-friendly options for waste management and energy consumption.
Requirements:
Event Planning Experience: Proven experience in planning and executing large-scale events, preferably festivals or similar gatherings.
Sponsorship Outreach Skills: Strong ability to identify and secure sponsorships, negotiate agreements, and maintain positive sponsor relationships.
Volunteer Management: Demonstrated experience in recruiting, training, and managing volunteers for events.
Communication Skills: Excellent written and verbal communication skills to effectively engage with sponsors, volunteers, and other stakeholders.
Venue Coordination: Familiarity with negotiating venue contracts and managing logistics for events.
Availability: This is a full-time role, and the candidate must be available for regular meetings and coordination during both planning and execution phases of the festival.
