Job Overview:

We are seeking a Virtual Phone Receptionist to serve as the initial point of contact for our residential and commercial building company. As a virtual receptionist, you will be crucial in managing incoming calls, scheduling appointments, and providing exceptional customer service to clients, subcontractors, and other stakeholders. 

This remote position requires excellent communication skills, a friendly and professional demeanor, and the ability to handle multiple tasks simultaneously.


Responsibilities:


- Answer incoming calls promptly and professionally

- Greet callers warmly and ascertain the nature of their inquiry

-Provide information about our residential and commercial building services

-Schedule appointments for clients, subcontractors, and project meetings

-Direct calls to the appropriate department or individual

-Take accurate messages and relay them to the appropriate team members promptly

- Assist callers with basic inquiries or redirect them to the appropriate resource

- Maintain a detailed log of incoming calls and messages

- Follow up on voicemails and emails in a timely manner

- Handle customer inquiries and resolve issues with professionalism and courtesy

- Collaborate with the administrative team to ensure smooth operations

- Perform other administrative tasks as assigned


Requirements:


- Previous experience as a receptionist or in a customer service role preferred

- Excellent verbal and written communication skills

- Strong interpersonal skills and a friendly demeanor

- Ability to multitask and prioritize tasks effectively

- Proficiency in using phone systems and basic office software

- Familiarity with residential and commercial building terminology and processes is a plus

- Reliable internet connection and access to a quiet workspace

- Flexibility to work remotely and accommodate varying schedules

- High school diploma or equivalent required; additional education or training in office administration or customer service is a plus

- Ability to work in Australian Timezone
